Black Hills IP is Seeking a Senior Patent Docketing Specialist – IPWatchdog.com

Black Hills IP, a leader in IP automation, is looking for a Senior Patent Docketing Specialist to join our team. As a Senior Patent Docketing Specialist, you will use automated docketing technology to ensure docketing for law firm and corporate customers is processed accurately and timely. You must be open to new ways to docket, with an eye for detail, and ready to take part in the future of docketing! At least 7 years of patent docking experience is required. Trademark docking experience is also desired. Paralegal certificate and/or Bachelor degree preferred. This full-time, permanent position is open in either Minneapolis, MN or remote.

Duties Include:

Under the direct supervision of the Docketing Manager, the Senior Docketing Specialist is responsible for ensuring US and International patent docketing is processed accurately and timely. The Senior Docketing Specialist primarily works on tasks that are billed to customers.

Essential functions:

  • Uses Black Hills IP’s proprietary automated docketing software to efficiently docket, verify/review and report out communications received from the US and International Patent Offices, foreign agents and attorneys.
  • Dockets US/PCT/Foreign Patent Office deadlines in a timely matter with a high level of quality.
  • Updates customer docking systems and databases directly when necessary.
  • Opens new files in customer’s docking system including adding bibliographic information, upcoming deadlines, family relationships, etc.
  • Performs data audits of existing files in docketing systems including reviewing docketing deadlines, bibliographic data, family relationships, etc.
  • Communicates with Black Hills IP customers in a professional manner.
  • Assists with intake of new customers.
  • Supports on-boarding and customer services teams as needed.
  • Works with Automation and Development teams to improve automated processes as needed.
  • Maintains knowledge of various commercial docking systems.
  • Maintains knowledge of rules and procedures for various Patent Offices.
  • Safeguards confidential information of Black Hills IP and customers according to applicable policies and agreements.

Additional tasks:

  • Assisting the Docking Manager as necessary.
  • May act as backup to other staff in their absence.
  • Performs all other duties as assigned and required.

Environmental Factors:

  • Performs clerical duties in office environment. Projects and data are time sensitive and must be performed with a high degree of accuracy, attention to detail and within strict established deadlines.

Qualifications Required and Preferred:

  • High school diploma or GED certificate and seven years of patent docketing experience.
  • Paralegal certification or BA degree preferred.
  • Knowledge of Microsoft Office products.
  • Knowledge of docketing systems, patent prosecution rules, PTO deadlines and related procedures.
  • Demonstrated superior analytical skills, with strong ability to review and organize numerous documents in complex intellectual property matters.
  • Ability to communicate effectively, both verbally and in writing, with diverse customer base.
  • Ability to perform alpha-numeric data entry at 125 kpm net of error.
  • Ability to perform attention to detail with 90 percent accuracy.
  • Ability to pass required background check as related and may be required by Federal Regulations.
  • Must be a US citizen or have a green card allowing work in the US without being subject to export control restrictions.
